10 years total experience with 6 years minimum of dedicated full time bookkeeping experience using Quickbooks Online plus an additional 4 years minimum of office manager experience is required for this position.  Candidates who do not meet this requirement will be automatically declined.

JOB DESCRIPTION:

This individual will be responsible for bookkeeping and office manager duties to support the engineering consulting services provided to our clients on their development projects for private entities and municipal projects for government entities. The individual will be a proficient user of Quickbooks Online; maintain A/R and A/P accounts; manage collections; process payments; manage payroll; manage timesheet software; manage contractors providing periodic office maintenance; interact with clients; manage the office environment; and manage/enforce/update existing office standard operating procedures.  This individual will be a resource to the management team to reflect the high quality and attention to detail which the firm has built our reputation on with our clients.  Interest in a growth path for additional management duties is encouraged. 

RESPONSIBILITIES/QUALIFICATIONS:

Bookkeeping

  • Proficient user of QuickBooks Online
  • Maintain files for A/R and A/P accounts 
  • Manage collections including contacting clients for past due payments
  • Process payments received by check and e-transfer
  • Monthly client invoicing and associated filing
  • Track credit card purchases and ensure appropriate use of company credit cards 
  • Data entry for various accounting and journal entries
  • Coordination with CPA for routine closing of the books   
  • Payroll:
    • Review and process Unanet timesheets and expense reports on a weekly basis
    • Process bi-weekly payroll using QuickBooks 
    • Monitor bi-weekly tax payments from payroll deductions to State and Federal agencies including three states
  • Manage Unanet (timesheet, paid time off, invoicing, and expense report software)
  • Manage project and client information entered into QuickBooks and Unanet

Office Manager:  

  • Greet and communicate with clients, subcontractor, and contractors
  • Track employee paid time off and use of remote work days
  • Manage and order office supplies used to produce projects
  • Manage contractors providing periodic services to the office including cleaning crew, septic tank, pest control, copier and printers, and full size plotter 
  • Manage office environment and conference rooms to reflect high quality and attention to detail which the firm has built our reputation on with our clients
  • Manage and enforce existing office standard operating procedures and update procedures, processes, and policies as needed
  • Proficient in technical writing and communication skills
  • Proficient in project management, task management, follow-up and follow-through
  • Manage special projects as assigned 
  • Assist engineers with administrative tasks on their projects when other administrative staff are overloaded
  • Answer incoming phone calls using Teams from computer or cell phone
  • Manage file room and periodic dead filing of closed projects
  • Manage Unanet project work planning
  • Execute multiple simultaneous tasks
  • Carry out procedures independently, schedules meetings, and communicates clearly with the management team.
  • Bring one or more potential solutions to problems/issues for all meetings with manager including pros/cons identified for each potential solution.
  • Solve unique problems utilizing natural student discernment and problem-solving skills. 
  • Thrives on performing and solving problems with minimal to no supervision. Fully knowledgeable of company standards; capable of interpreting and solving tasks; and ability to supervise.    
  • Proficiency and demonstrated familiarity with office management in order to provide guidance to others. 
  • Demonstrated familiarity with various common conditions, problems encountered in assignments, and proper procedures for rectification. 

REQUIREMENTS:

  • Bachelor’s Degree
  • 10 years total experience with 6 years minimum of dedicated full time bookkeeping experience using Quickbooks Online plus an additional 4 years minimum of office manager experience
  • Detail oriented with tendency to adhere to established procedures
  • Strong communication and interpersonal skills with staff and clients 
  • Ability to multi-task, prioritize, and complete duties on schedule
  • Must be highly organized and able to work with minimal supervision
  • Logical thought process, analytical, and problem solving skills 
  • Ability to articulate technical ideas both visually and verbally
  • The candidate should be a self-starter and results-oriented
  • Softwares:  QuickBooks Online, Transaction Pro, Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
